Information On Trade Exhibition

The exhibition will be located in a hall at the ICC specifically booked and suited for this purpose. To ensure this will be a high traffic area, all catering will be served here, and access to both breakaway auditoria will be via the exhibition hall. Initially 28 exhibition stands (28) have been made available for hire during the congress. The proposed layout diagram is attached.
Details are as follows:

Stands:
Stands will be 3m x 3m in size. Most stands include a shell scheme, however a few stands will be made available without a shell scheme where the exhibitor has their own shell, or where a standard shell does not suit the nature of the product on display.
Each shell scheme will be supplied with one 15 amp plug point, 2 spotlights, a table and two chairs and signage.
A stand without shell scheme will be supplied with a table and 2 chairs, and a 15 amp plug point.

Cost:
Cost per stand for the full 3 days of the Workshops & Congress, will be R7500-00 excl. VAT with shell scheme, and R6000.00 excl. VAT without shell scheme.
This includes a free registration for one person for the congress.

Bookings:
Stands will be strictly allocated on a first-come-first-served basis, hence early booking is strongly recommended. Please fill in the attached booking form, and return it to Catherine Taylor at Turners Conferences by fax or email.
Payment of a 50% deposit is required at the time of reservation to secure your stand. Payment of the remaining 50% is required by 29 June 2007.

Payment for the exhibition stands can be made as follows:

Stand Set-up and Removal:

The stands will be available for set-up on Sunday 2 September 2007. Stands can be taken down on the afternoon of 5th September 2007.

Security/Insurance:
The exhibition area will be monitored by a security guard at night. However, neither SAAFoST nor the administration of the ICC can be held liable for any loss or damage to the contents of stands. It is the responsibility of exhibitors take out suitable Insurance cover for their stands if this is felt necessary.

Cancellations:
In the event of cancellations of an exhibition booking, before the 31st July 2007, SAAFoST will endeavor to secure an alternative booking for the stand concerned – should this be obtained, the stand booking fee will be refunded. Should no alternative exhibitor be available, and for any cancellation after the 31st July 2007, no refund fee will be made.
